Employee Directory

Manage employee profiles, employment terms, emergency contacts, identity documents, and linked WordPress accounts.


1. Adding a New Employee

  1. Navigate to HR Press > Employees.
  2. Click Add New Employee.
  3. Complete the employee profile sections:

Personal Information

  • First Name & Last Name: Full legal name.
  • Email Address: Work email (used for notifications and login credentials).
  • Phone Number: Primary contact number.
  • Date of Birth & Gender: Standard demographic records.
  • Current & Permanent Address: Residential contact info.
  • Profile Photo: Upload avatar image.

Employment Details

  • Employee ID: e.g., EMP-001, EMP-042 (custom identifier sequence).
  • Department: Select from your configured departments.
  • Designation: Select from designations within the chosen department.
  • Date of Joining: Official contract start date.
  • Employment Type: Full-Time, Part-Time, Contractor, Intern.
  • Shift: Assign the default work schedule.
  • Status: Active, Inactive, Terminated, On Leave.

WordPress User Account Linking

  • Link Existing User: Select an existing WordPress user from the dropdown.
  • Create New User: Automatically creates a WordPress login with the Employee role and sends welcome credentials via email.

Emergency Contacts & Documents

  • Emergency Contact: Name, relationship, and emergency phone number.
  • Document Attachments: Upload employment contract, tax forms (W-4, Form 16), government ID proof, and academic certificates.
  1. Click Save Employee.

2. Managing Employee Profiles

In HR Press > Employees, the master table displays all staff with search, department filters, and status tags:

  • View Profile: View complete employee dossier including personal info, attendance history, leave balances, and salary slips.
  • Edit: Update contact details, promote to a new designation, or change department.
  • Deactivate / Terminate: Sets status to Inactive or Terminated. Inactive employees can no longer clock in or submit leave requests.

3. Bulk CSV Import / Export

  1. Go to HR Press > Employees > Import/Export.
  2. Export: Download full staff directory as CSV for payroll or tax reporting.
  3. Import: Upload a formatted CSV file to onboard multiple employees at once.
